Delegation Terms
These terms apply to participation in delegations and trade missions organised by Magic Gate LLC. They are a practical draft for legal review.

Application & screening
Applications are reviewed for eligibility, documentation, and commercial fit. Submitting an application does not guarantee acceptance.
Acceptance & registration
Participation is confirmed only after acceptance and completion of registration requirements, including any applicable payment.
Payment, cancellation & refunds
Payment terms, cancellation deadlines, and refund conditions are set out for each delegation and must be agreed before participation.
Visas & invitation letters
Visa approval is decided solely by embassies and consulates. Invitation letters and participation do not guarantee a visa. We coordinate documentation but are not responsible for visa decisions.
Travel, accommodation & event changes
Travel and accommodation availability and prices may change. Event programmes may change or be cancelled by organisers. We communicate changes as soon as we can.
Participant conduct
Participants are expected to act professionally and lawfully throughout the programme.
Third parties & force majeure
We are not responsible for decisions or actions of embassies, consulates, event organisers, airlines, or other third parties, or for events beyond our reasonable control.
Documents, privacy & intellectual property
We handle participant documents confidentially and only as needed. Programme materials remain our property unless agreed otherwise.
